TopRefHub is scheduling and rating software. We are not the employer of referees. Accounts are for adults — league admins, officials, and coaches. We do not collect player data.

Official accounts are for adults 18+ at this time.

TopRefHub tracks owed/paid and exports a payday CSV; your organization pays officials. The league remains the payer of game fees and the league files 1099s today. TopRefHub does not hold your game-fee funds. Your organization remains the payer of officials and is responsible for 1099 filing for game fees. We track what’s owed and paid. Your org pays refs and files 1099s. Export this for your accountant. TopRefHub does not pay base game fees today and does not file 1099s for game fees unless Legal later changes this. TopRefHub does not file 1099s for game fees unless Legal later changes this.Recognition for top performers is coming soon. Base game-fee amounts vary by sport and level. Software subscription is annual.

Level 1 and Level 2 are annual software subscriptions. Level 3 (chapter, district, or multi-sport) is a custom agreement with no public price. To cancel or request a refund, email support@toprefhub.com. We handle refunds case by case during the beta.

Pilot: one season or up to 200 games / 40 officials, whichever comes first. Reaching a limit only triggers a warning — the board never freezes during a pilot. A signed Pilot Addendum controls for that league.

After a game, coaches may be asked to rate punctuality, communication, game control, and whether they would want that official again. An optional comment is allowed.

Ratings follow a 24-hour cooling-off: TopRefHub opens the form 24 hours after the game is marked complete, then stays open for 48 hours so feedback is clearer. SafeSport and immediate safety reporting are not delayed by the 24-hour game-feedback window. Do not use ratings to harass officials; we may suspend access for rating abuse.

Ratings vs safety reports. Ratings wait 24 hours. Safety, SafeSport, abuse, and threat reports do not. File those immediately — they are not ratings, they never go into the comment stream, and one low score does not trigger a hold. Accounts are for adults. We route reports to the league; we do not adjudicate. Read the in-product rule.

Individual game ratings and comments stay with the organization that ran the game. They are not a public scoreboard. League admins review and moderate feedback.

Open-slot notices go to officials in that game's pool. Email is the default. SMS is optional and requires a mobile number plus the staffing checkbox (or a later Phone settings opt-in). First texts identify TopRefHub. Reply STOP to cancel. We do not use staffing texts for plan upsells or bonus marketing.

Provide accurate information, keep rating links to the intended coach, and treat officials and league staff with respect. We may suspend access for abuse or misuse of ratings.

Software can have bugs. During the beta we work to keep the service available, but we do not guarantee uninterrupted access or that every feature described in older materials is live.
